Policies and Procedures-  

2017-18 Academic School Year

Below is a description of the service terms of use of Two Birds One Stone Learning, LLC:

1.  Payments are month-to-month at the start of the month.  

Since January 1st, 2015, students have been making payments for English lessons, after school tutoring, and test preparation at the start of the month.  Payments have been made by check and sent through the mail or with a credit card.  Students that are tutored by the owner directly, have the additional option of paying the owner with cash.  Under no circumstances are payments to be given to your tutor unless your tutor is the owner.  If you are unable to pay by check or credit card and it is necessary for the owner to make a special trip to receive your payment, a $5.00 trip charge will be applied to your monthly invoice for lessons delivered in the Dublin/Northwest Columbus area.  Trip charge fees will be applied on August 1st, 2017. 

2.  Cancellation Policy

If you need to cancel a lesson, please do so 24-hours advance.  We 
reserve the scheduled time for you and we arrange lesson plans ahead of time.  Whatever the reason, we regret that we will charge a scheduled lesson fee if cancel is notified less than 24-hours.


3. Payments:

Checks-  All checks are to be made "Pay to the order of
  "Two Birds One Stone Learning".  It is preferred that if a payment is made by check that the check is made to "Two Birds One Stone Learning", not "Daniel Stone".  


Cash-  Unless Daniel Stone is your tutor, making payment via cash is not accepted.  Payments can only be given to the owner, not the tutor.  


Credit Card-  We accept credit card payments, however, please note that there is a small fee added to the student's monthly invoice.  

4.  Registration fee

(Annual Students) There will be a one-time registration fee of $25 per person plus $5 per each additional family member.  This fee breaks down to approximately $3 per month and covers expenses such as copies, postage and other miscellaneous costs to ensure that Two Birds One Stone Learning is putting its best foot forward.  

5.  When to expect next month's schedule:

The next month's schedules and invoices will be hand delivered or mailed between the 15th and 20th of the current month.

6.  Deadline to make changes to next month's schedule:

It is requested that between the 22nd and 27th of the current month any changes to next month's schedule and invoices are communicated.


7.  Non-Solicitation of Teachers: 

The tutors at Two Birds One Stone Learning are qualified professionals who provide valuable services to a variety of participants in the program. By using the services, you agree not to directly or indirectly solicit, employ or enter into any contract with any teachers in the Two Birds One Stone Learning to perform private teaching or similar services under any circumstances.  Additionally, we ask that students and tutors keep the relationship professional by not spending time outside of lessons in a way that can be construed as a personal friendship.  STUDENTS ARE NOT ALLOWED TO HOLD MEETINGS, MEET FOR COFFEE, GO TO BASEBALL GAMES OR ANYTHING ELSE OUTSIDE OF LESSONS.
 
8.  Saturday Lessons

Saturdays are the busiest time of the week for Two Birds One Stone Learning.  Every effort is made to have adequate staffing combined with schedules in place will ample notice.  We are offering more programs during the week and for those interested in group lessons.  When a student that is scheduled for lessons on Saturdays is unable to maintain attendance 75% of the time for two consecutive months, it will be necessary to waitlist
that student to provide an opportunity for a student on our growing waitlist.  
 

9.  Minimum Monthly Attendance Policy

To clarify the attendance policy for service at TBOSL, there will be a minimum lesson frequency per month of three (3) times. 
TBOSL's target is to improve students’ English ability and we believe attending on a regular basis will help achieve that goal.


10. In the event the tutor or student is tardy to a lesson:

If the student is late, the missed time is forfeited. If the instructor is late, the missed time will be added to the end of the session as allowed by the student and instructor’s schedules or the fee will be adjusted.

The language used by tutors to deliver Language Training:

If students are at the beginner level, the student will be in a textbook driven program. While we don't require the student to buy the textbook, we encourage the student to obtain a copy and read ahead before their scheduled lesson so that they can identify terms and phrases that they are unfamiliar with to be looked up in a dictionary prior to the lesson is delivered. Tutors will use some Japanese or Spanish for example to bridge a communication barrier but the expectation is that lessons will be instructed 99% in English. In some cases, our tutors aren't proficient in Japanese or Spanish, and we don't expect them to be as we look for tutors that have a proven track record of helping language learners improve their second language. We believe that this approach is the most effective in the development and improvement of the learner's language. Furthermore, students that have struggled with previous programs in improving their English won't be beginners very long by following this philosophy. Parents need not feel left out of their child's tutoring process as communications via email or text can be done in English or Japanese and are responded to within 24-48 hours.


 
12.  Tutoring Schedules when there are school closures, breaks, and weather issues:

School districts tend to close in January, February, and March when there are holidays such as MLK Day, President's Day, Good Friday, etc. Due to our flexibility of planning month to month, term by term, we will reach out to you in advance ensuring that despite school being closed, tutoring will take place on those days if that is the student's desire. Depending on tutor availability, the time of the lessons can be changed (regularly scheduled afternoon lessons rescheduled for the morning) or alternatively be forfeited if the school closure affects the tutor's schedule making them unavailable.


 13.  What to expect with your tutor

 Our goal is to assign you with a tutor that is compatible with you and your family. Tutors are interviewed, reference checked, screened, and under contract with our organization ensuring that the students that we serve are receiving the support that they need. Tutors are expected to start with a family or student in January for example and continue with that family or student until the end of the term which coincides with the local school district's ending in May for example. In some cases, the relationship continues during the next term, but if the tutor completes their university programs and relocate, then obviously, we will work hard in finding a suitable replacement. We make every effort possible to prevent tutors changing in the middle of the term and not starting a new term without knowing if the tutor can't continue to the end of the next term.

14.Forfeiture of unused lessons

Any of the above policies (non-solicitation of teachers, minimum monthly attendance, excessive tardiness, and cancellations, etc.) that force TBOSL to discontinuing services, any unused lessons already paid for will not be refunded.  Every effort by TBOSL will be made to prevent forfeiture of unused lessons.
